Proofreading & Editing


Gordon Asher and Leigh French provide professional proofreading and editing services for academic writers and research authors, both staff and students. We will proofread your writing for publication or submission and fix flaws in grammar, punctuation, and spelling. We will also edit to amend awkward phrasing and improve clarity and flow, as well as improve lexical choice and academic tone. Substantive editing would also include reorganisation and restructuring of texts. Our revisions are highlighted for you to check so as to help you meet the rigorous demands of academic writing and reduce the risk of rejection.
We are native speakers of English with extensive hands-on experience of academia across numerous UK Higher Education institutions, and our editing services span the arts, humanities, education and social sciences.

Our academic proofreading and editing services include:

• Checking your texts for spelling, vocabulary, grammar, punctuation, and typographical mistakes, as well as English language errors.
• Enhancing sentence structure, rephrasing and revising, and generally improving word choice for clarity and appropriate tone.
[• Substantive editing would also include reorganisation and restructuring of texts.
• Providing you with valuable feedback in the form of 'Tracked Changes' and inline commentary so as to eliminate redundancy and ambiguity, furthermore, dependent on the level of service requested, we can enter into proceeding dialogue.
• Correcting formatting, including references, in-text citations, and footnotes, to meet specific journal standards such as Harvard.

We provide wide-ranging proofreading and editing services, including for:

• Academic staff and students’ dissertations, essays, assignments and presentations; literature reviews, research papers and proposals, lecture notes and teaching materials, journal articles, academic books, PhD theses, etc.

Levels of Service and Prices

We have two rates with respect to the complexity of the work and the breadth of adjustment:

• Proofreading and editing

Correcting spelling errors and typos, grammar mistakes, punctuation, word choice and usage; and checking for consistency of stylistic elements such as pronoun point of view (1st, 2nd, and 3rd person), verb tense, and level of formality.
This degree of editing includes the rephrasing or rewriting of awkward or unclear sentences, replacement of jargon (technical simplification), insertion of transitional words and phrases, and paring down of sentences for concision.
Charge: £15-19 per hour, roughly per 1,000 words.

Proofreading and substantive editing

Substantive editing (also known as heavy editing) corrects spelling errors and typos, grammar mistakes, punctuation, word choice and usage; checks for consistency of stylistic elements such as pronoun point of view (1st, 2nd, and 3rd person), verb tense, and level of formality; and rephrases awkward or unclear sentences, replaces jargon, inserts transitions, and pares down sentences for concision.
This level also includes the reorganisation of text and restructuring of paragraphs and sections to achieve logical coherence, and pays attention to the balance and credibility of argument, inclusive of checking quotations and references for accuracy.
This editing will usually be accompanied by suggestions for the improvement of rhetorical, stylistic, and logical strength.
Charge: £20-25 per hour, roughly per 1,000 words.


How it works

When your work is ready for proofreading, please rename your document if possible as follows: First-name_Last-name_today’s-date.
If you send more than one file to us on the same day please name the second file _2, the third file _3 etc.

Style guide (link): ...

The file format should be either UK or US English. Your style guide could be Harvard referencing, Chicago referencing, APA style, a weblink to author instructions of a journal or academic institution, etc. Inclusion of a style guide ensures that formatting and references conform to author guidelines. If no style guide is supplied we correct references to the style that is prevalent in the document to ensure continuity.
Please note the deadline should be the time and date you need it in your e-mail inbox. The deadline should ideally allow you plenty of time before the due date for submission to respond to any suggestions and recommendations made by the proofreader.
We aim to acknowledge enquiries, including receipt of files, within a day of being contacted.
When we receive your document, we will carry out a word count in Microsoft Word (Tools → Word count…). The indicated word count will be multiplied by the rate that we consider applies to your text.
After we have carried out the word count and the calculation we will send you an e-mail confirming the price, deadline, format, and style guide.
If substantive editing is required and we have to spend more time on your document than we anticipated, we will inform you and discuss any recalculation of the price.
When we have finished proofreading we will return to you a version of your document that is proofread using the ‘Track Changes’ function of Microsoft Word. This is a standard function installed in most versions of Microsoft Word. This function allows you to move easily between changes and accept any or all of the modifications proposed by the proofreader. Corrections, suggestions, and comments are shown in the right-hand margin and are easy to accept into your document.

Deadlines and Turnaround Time

We understand the gravity of precise deadlines, and the more notice given in advance the better. As an example, with sufficient notice, articles can be returned within 3 to 4 days if required.
We also appreciate that unusual circumstances can arise, making the need more urgent. We therefore offer a high-priority function, working over weekends, holidays or odd hours which incurs a surcharge.


We will not share your personal information or disclose your writing to external parties unless you give us permission to do so or where legally compelled to in accordance with General Data Protection Regulation. Personal information provided to us as well as the work under review is treated in strict confidence, a necessity whenever unpublished scholarship is entrusted to us. In addition, bespoke confidentiality agreements can be signed if required.
Your files are securely stored and their transmission is either via email or more securely via Dropbox – essential for large files – and one month after the work has been completed we will securely delete the files from our systems. This is why it is essential that you retain copies of what you have sent and received.

Comparative Costs

We appreciate, especially for PhD students and precarious academic workers, that proofreading and editing can amount to a significant cost. This is why our prices are at the ‘more affordable’ end of the proof/editing services for such work. If cost is a prohibitive concern, please discuss it with us, as we do strive to provide for different needs. We are, for instance, happy to discuss payment in instalments, particularly with respect to longer pieces of work. We do, however, ordinarily request partial payment in advance: a third of the projected overall cost. Our flexibility in this regard is dependent on those with higher budgets continuing to adequately remunerate services.

Service Suitability

We are able to undertake proofreading and editing services by experienced, first-language English speaking editors suitable for the majority of manuscripts in need of language correction. However, please be aware that while our services have helped many authors achieve publication, we cannot guarantee that your paper will fulfil the requirements of your target journal etc. If, for instance, your reviewers have suggested that your paper needs comprehensive language revision, you may need to consider our ‘substantive editing service’. This typically involves major rewriting and restructuring, albeit at a cost above that of our standard proofreading and editing.


Process and Meeting Facilitation


Gesa Helms and Gordon Asher can facilitate a process or meeting for you, or support you with its design so that you can facilitate these yourself. We are a team of skilled facilitators with experience of supporting (and participating in) groups of all sizes working to reveal and resolve the underlying, often hidden dynamics of an issue. We particularly specialise in facilitating participatory processes such as consensus decision-making and have a wide range of tools and approaches to support this. We can help with planning and facilitating an important meeting, developing your vision, working out your organisational structure or exploring a contentious issue.


Writing Retreats


Gordon Asher offers a range of academic writing retreats designed to give academic writers dedicated space and time to devote to their writing projects. This is inclusive of both staff and students facing a range of contemporary pressures and deadlines. Gordon is qualified to run writing retreats utilising the internationally recognised Rowena Murray model [http://www.anchorage-education.co.uk] and, as such, offers bespoke residential and non-residential retreats facilitated for individual and group writing which can span anything from one day to a week.
As well as facilitating the retreat, Gordon can also offer writing support as an aspect of it, where that is desired. Having worked in higher education for many years, supporting staff and students with their research and writing – in addition to experience as an academic, journal editor, reviewer, and proofreader – Gordon is able to offer advice on writing for publication or assessment, and possible ways to approach situations that commonly arise, such as being worried about or ‘stuck’ with your writing. Gordon also has particular experience of specialising in supporting postgraduate and international students and staff with their writing, including those for whom English is not their first language .

Academic Transcription Services

Transcription services for academic research, case study interviews, dissertation notes, conferences, and students' lecture recordings. Based in Scotland, we have working experience of 'non-standard' English: comprehension of regional and social variance.

Sending a document: Upload your English language Audio/Video Files from your computer to your Dropbox and provide text-all secure access to them, or upload files to an online file host and simply paste a URL from the web, or email the files if they are sufficiently small. How many people are talking? How many are non-native English speakers?
Are the recordings difficult to hear? (Poor quality recordings will need more resources to help create a better quality transcript. This is why the rates are higher.)
Transcript Format required:

• Standard "intelligent" Verbatim: concise, more like written English.

• Strict Verbatim: reflects more spoken English – includes ums, ers, repetition etc. (mostly used only in certain types of research).

Price: Standard rate: £0.80 per recorded minute of audio or video. Rush / Demanding rate: £1.60 per recorded minute of audio or video.


Difficulty: Several factors increase the time taken to transcribe a recording, and thus the transcription price, e.g. more than 2 people talking, unclear recording, accents etc.


Turnaround Time: As a rough guide, we recommend at least 14 working days minimum for turnaround.


Ethics confidentiality agreement: We can personally review and sign a transcription confidentiality agreement that complies with your university's ethics policy if requested. Or we can forward our agreement for you to sign and return to us.


File Types: We accept audio and video recordings in MP3, MP4, WMV, AIF, M4A, MOV, AVI, VOB, AMR, WMA, OGG, AAC, and WAV. We do not currently accept physical media (tapes, CDs, SD cards, etc.) If you have a file in a format other than those listed here, please contact us. We also accept links to streaming video and audio files available on the web.

What you receive: A verbatim transcription, unless you have opted for light editing for clarity, is emailed as an editable Microsoft Word or plain text document.

University payment: We have experience in dealing with UK University-based finance and grant processes, and have directly dealt with and invoiced different university departments. We therefore send final invoices after projects are completed but can invoice in advance, either partially or wholly, if you should request it.


Data management


Our data management practices are in accordance with General Data Protection Regulation (GDPR). text-all have a legal duty to protect the information we collect from you. We use leading technologies and encryption software to safeguard our data, and strict security standards to prevent unauthorised access to it.
The use of this website text-all by visitors is possible without any disclosure of personal data. However, if an interested person wishes to use particular ‘services’ via this website and thereby reveal an e-mail contact, processing of that individual’s personal data by us (this site’s moderators) will be required. To do so we must obtain the consent of the person concerned – formally called the ‘data subject’.
The processing of personal data, such as the name, address, e-mail address and telephone number of a data subject will always proceed in accordance with the General Data Protection Regulation and our privacy policy (as detailed here).
By means of this privacy policy, we would like to inform site visitors/possible clients about the nature, extent and purpose of the personal data collected, used and processed by text-all as well as the rights to which the data subjects are entitled. The terms used in our privacy policy are to be understood with regard to the European General Data Protection Regulation (GDPR).
The text-all site contains e-mail information and contact forms that enable quick electronic contact with text-all. These require the data subject's name and e-mail address. The personal data transmitted by e-mail or via a contact form to text-all by the data subject are automatically stored internally and for the purpose of processing or contacting the person concerned.
For users of our services, we will only process and store the personal data of the data subject for the period required to achieve the purpose of the storage and in accordance with the General Data Protection Regulation and country and institution-specific data protection provisions.
The general contact email address <mail@text-all.net> provided here forwards to hotmail.com and posteo.net addresses. Thus, any email sent to the text-all address will pass through these e-mail providers where their respective data policies apply.
